Upload Invoices

Note

  • Only a platform admin can have access to upload invoices sub-section.

  • A checker approval is needed to successfully upload the invoices in the platform.

How To Access On DDRX Platform

Platform Panel -> Invoices -> Upload Invoices


Steps to upload invoices in DDRX platform

  1. Select a buyer name from the dropdown menu.

  2. Fill in the invoice details in the input file template available for the selected buyer. Here, we are uploading invoices in the template file for buyer Nike.

  • Supplier Name - Enter the name of the supplier.

  • Supplier Bank Name - Provide the name of the supplier's bank.

  • Supplier Bank Number - Enter the contact number of the supplier's bank.

  • Supplier Bank Account Num - Enter the supplier's bank account number.

  • Document Amount -

  • Check OK to Pay - Enter the value as Yes.

  • Invoice Number - Enter the unique identification number of the invoice.

  • Invoice Date - Specify the date when the invoice was issued. The date format should be dd-Mmm-yy.

  • Description - Provide a brief description or details about the invoice.

  • Gross Amount - Enter the total amount of the invoice before any deductions or adjustments.

  • Payment Amount - Enter the amount to be paid for the invoice.

  • Due Date - Specify the due date for payment of the invoice.

  • Invoice Manually Entered - Specify the value as N.

  • Invoice Force Approved - Specify the value as N.

Note

The format of the invoice file and its fields may vary for different buyers. The specific format depends on the Inbound File Adapter selected during the configuration of the market for the buyer.

  1. Save the file in your system.

Important

The file name format should be CRED_BUYERID_PRELIMS_DDMMYYYY.

  1. Click Browse and select the saved file.

  2. Click Upload. Upon clicking this button, the invoice details are sent to a checker for review, validation, and approval. Once approved, the invoices become eligible for further payment processing.
